Our team has worked hard to finish your project. Now that you can see your website’s preview, we need your final approval in order to launch. You have 7 days to provide us with any final change requests you have. In order to prevent miscommunications, unnecessary back and forth, and unpleasant situations, we have created detailed instructions on how to provide us with your change requests. These are listed below as follows:
STEP 1: AUDIT THE SITE CAREFULLY
Perform a complete audit of the website. Review every page, every image, every text, and button to find any issues. Take your time to review the entire website (including the mobile version) and write a detailed report of any and all the issues you found and anything you’d like to change.
STEP 2: PROVIDE WRITTEN CHANGE REQUESTS
In addition to the visual changes, you may have specific text changes you want to be done on specific parts of the site. For these instances, you should include them in ONE document instead of many messages/documents. If you prefer writing instead of video, you can use this method exclusively instead of the video or in conjunction with it. If you don’t have any text change requests, you can safely ignore this step and approve the website as is.
- Structuring your Change Requests.
Please list the page you are referring to when listing your change requests. If you have a handful of requests, simply add the page name after the request. Ex. Change the text from — to — (Home Page). If you have many, then add the Title for each Page and list the changes in bullet points underneath as such:| Home | About Us | Service 1 |

- Best way to write your instructions
Your instructions need to be written in clear English and use bullet points when feasible. The more exact you are in your request the faster we can accommodate, if we cannot understand your request, then it might be done differently and/or time can be wasted on back and forth.| ❌ Examples of improper requests | ✅ Examples of proper requests |

- Text Grammar/Typos
Your website has gone through an extensive process of designing, developing, and writing. It is normal that you may find some typos or grammar issues. Please include all of these in your requests as follows: “On — page, please change the text from — to —“. Please note that ANY text update/change can also be done anytime after the 7 days without any cost by you, through the website’s content editor (similar to MS Word); which you will have access to as soon as the website is published. - Image Requests
Every image on your website is hand-picked by our design team to match the website’s brand. The images used on your website are a mix of your provided images and royalty-free images.- Royalty-Free Images: If you would like a different royalty-free image, go to www.depositphotos.com and search for the image to be used (even if images have a price, we will get them for you). You will write the request as follows: “On — page, please change the image on — section for this one (Depositphotos link). See tutorial >
- Images Provided by You: If you want us to add or replace an image, note that it needs to be high quality (min 1000px wide) for us to include it, otherwise it will look blurry and unprofessional. If you have less than 10 pictures to include, you can include them all under “Files”, if you have more, please create folders under Files and upload all your pictures to the proper folders for organization. If you have other media to upload (ie. presentations, videos, etc) please ensure uploaded files are of the correct format.
- Bug Corrections
During your review, you should check every button and link to ensure every button/link works as expected. If you find a broken button or link, include it on your change requests as follows: “On — page, the button that says — is not working, please fix it” - Design/layout Requests
Sometimes there are subtle changes or improvements that can be made to the design. These are often difficult to explain through text. For these, we recommend you record your screen and explain your points visually. This will make it much easier for our team to understand your points and complete your request. You can use a free Chrome extension to record your screen as explained here.
COMMUNICATIONS PROTOCOL:
- Calls, Texts, and Emails:
To ensure clear communication and proper tracking, please submit all change requests exclusively through your designated project management platform. This allows your assigned project team to access and address your requests efficiently. Please do not send change requests via calls, text messages, or emails. These channels are not monitored or tracked for project updates, and any requests sent through them will not be acknowledged or acted upon. - Efficiency in Submitting Requests:
To avoid delays and potential extra charges, we strongly recommend consolidating all your change requests into a single submission. Providing a complete list at once ensures a more streamlined and efficient process, allowing the team to address your needs promptly without unnecessary back-and-forth.
We have built hundreds of websites and know what works and what doesn’t. We appreciate your understanding and cooperation in following these protocols. We trust that these detailed instructions will allow you to communicate your requests proficiently and professionally in order to make your website launch a total success!
CHANGE REQUESTS NOT ALLOWED:
These requests are not considered valid change requests because these stages have already been approved before:
- Website Structure Change: Approved before website design began on “Site Architecture – Sitemap” project task.
- Website Branding Change: Branding colors are derived from your company’s logo and were approved on the logo design task.
- Logo Changes: Logo design changes are not possible after the brand logo has been approved.
- Additional Functionality: Any development functionality not included in your website package.
If any changes requested include any of these points, these will be billed separately.
TERMS & COMPLIANCE
Please note, you have 7 days from receiving the final website preview to submit all change requests. Any requests submitted after this period will be billed separately as per our Billing Rates. If no requests are submitted within 7 days, the website will be considered complete, as the project team will have transitioned to new assignments. Maintenance tasks will then be handled by a different team.
With this detailed protocol, we expect no issues or miscommunication between you and the team. If however, part of this protocol is not followed or our Terms & Conditions are broken, our compliance team will contact you to let you know how to solve it. Please understand that your project manager, developers, or designers cannot help you if there is a compliance issue, as a separate team handles this.
