Email Migration Procedure (Outlook)

The most commonly used Email Desktop client is Outlook, below you will find the migration instructions depending on your preferences:

FROM OUTLOOK TO OUTLOOK

If you haven’t setup outlook on your desktop following this tutorial here

Option 1
: Drag and Drop (EASY!)

PS: This option is great if you want to be able to access all of your past emails INSIDE the new email

  • At first try dragging the entire folder. If that doesn’t work, simply recreate the folder on the new email and drag all emails inside
  • Make sure to delete as many old emails to prevent using up all of the email storage.
  • Ask to delete old email contact and add new one instead
  • Mention the old email will only be available for the next 30 days
  • Send a follow-up email reminder after 1 week (up to 2 emails)

Option 2: Keeping backup on the desktop

PS: This option is great if you want to be able to access all of your past emails on your desktop, but don’t care to access it inside the new email (will save storage space)

1. Export your old email account. Follow this detailed tutorial >
2. Import backup file to new email account. Follow this detailed tutorial >

3. The imported folder will show as “Outlook Data File”

  • This means that the old emails are now in the client’s desktop and can be used as a backup, however these backup emails ARE NOT part of the new email.

4. Create an email forwarding on the old email to the new email. (we can do this for you, just ask us here)

5. Send email blast to ALL your contacts informing them about your email account change.

  • Ask to delete old email contact and add new one instead
  • Mention the old email will only be available for the next 30 days
  • Send a followup email reminder after 1 week (up to 2 emails)

6. Destroy any evidence of old email (website, online forms, business cards, etc.)

7. After 30 to 60 days, you can cancel the old email provider account.

FROM OUTLOOK TO ANY OTHER EMAIL CLIENT

PS: This option can be followed if you want to simply access your email online or phone using our Business Email service

OR migrate to a different Oulook alternative such as Mozilla Thunderbird.

> Simply follow the same steps as “From Outlook to Outlook” and once the emails are transferred these will automatically appear on your new email service.

> There is no way to import directly as Outlook uses a proprietary .pst file format not recognized by anyone else (including our Business Email)

1. On the same Outlook installation, have add the new email account . If you have problems with this, refer to the Outlook specific tutorial . 2. Once the new email is setup, all you have to do is drag and drop the emails from the old one to the new one! 4. Create an email forwarding on the old email to the new email. (we can do this for you, just ask us ) 5. Send email blast to ALL your contacts informing them about your email account change.  6. Destroy any evidence of old email (website, online forms, business cards, etc.) 7. After 30 to 60 days, you can cancel the old email provider account.
